Canva Invoice Templates: Free and Paid Options for Small Businesses
Adekiya Joscor · 27 October 2026
Canva has hundreds of invoice templates, and many are free. For a small Nigerian business that sends a handful of invoices a month, a free Canva template, edited once with your logo and bank details and then duplicated for each customer, is often all you need. Canva Pro becomes useful when you want premium templates, a saved Brand Kit, a transparent logo, background removal or a team sharing one consistent design.
This guide walks through building a reusable invoice in Canva, what you can do for free, and where a paid plan saves time. It reflects Canva's features as reviewed in October 2026.
Where to find invoice templates in Canva
- Open Canva on the web or the app and search for "invoice".
- Filter by style or colour, and look for templates without a crown icon if you want free ones. The crown marks Pro content.
- Open a template and click Customise this template.
You can also start from a blank A4 document and build your own layout using tables and text boxes.
What a good invoice should include
Whatever template you choose, make sure your invoice has these elements. Here is an example layout for a fictional business, "Adaeze Prints, Ibadan":
- Header — business name, logo, address, phone, email and, if registered, your RC or BN number.
- Invoice details — invoice number (for example INV-2026-014), issue date and due date.
- Bill to — customer name, company and contact details.
- Line items — description, quantity, unit price and line total. For example: "A5 flyers, full colour, 500 units, ₦45 each, ₦22,500".
- Totals — subtotal, discount, VAT if you are registered to charge it, and the total due in naira.
- Payment details — bank name, account name and account number, or a payment link.
- Terms — payment deadline, late-payment note, and a short thank-you.
If you charge VAT, follow current Nigerian tax rules on what an invoice must show, and ask an accountant if you are unsure. Canva provides the design, not tax advice.
Making the template reusable
- Replace the placeholder logo, colours and fonts with your own.
- Fill in the fixed parts: business details, payment details and terms.
- Leave customer, invoice number, dates and line items as clearly marked placeholders.
- Rename the design "Invoice master" and keep it untouched.
- For each new invoice, use File > Make a copy, then fill in that customer's details.
Number invoices sequentially and keep a simple log (a spreadsheet works) of invoice number, customer, amount, date sent and date paid.
Exporting and sending
Download invoices as PDF Standard for email or WhatsApp. PDF keeps the layout intact on any device. A PNG is fine for a quick WhatsApp preview, but customers and accountants generally prefer PDFs. You can also share a view-only link, but a downloaded PDF is a more reliable record.
What you can do on Canva Free
- Use free invoice templates and free elements.
- Upload your own logo and photos.
- Edit text, colours, tables and layout.
- Download as PDF, PNG or JPG.
- Save designs in your account and duplicate them.
For a sole trader sending occasional invoices, that covers the job.
Where Canva Pro helps
- Premium templates and elements — more polished layouts and icons marked with a crown.
- Brand Kit — save your logo, colours and fonts once and apply them in one click across invoices, receipts and quotes.
- Background remover — clean up a logo that came with a white box around it.
- Transparent PNG export — export your logo or stamp without a background.
- Magic Switch / resize — turn the invoice design into a matching receipt, quotation or letterhead quickly.
- More storage and folders — useful once you have hundreds of invoices.

Canva for teams
If several people in your business send invoices, a team plan lets you lock a shared template and Brand Kit so every invoice looks the same. Team members are added through Canva's official invitations, with billing per seat. Our Canva team plans guide explains seats and permissions.
Canva vs invoicing software
Canva is a design tool. It does not track who has paid, send reminders or calculate totals automatically. If you send many invoices, accounting or invoicing software may save more time than a better template. Many small businesses use both: Canva for a branded design and a spreadsheet or invoicing app for tracking.
Getting Canva Pro in Nigeria

Common questions
Are Canva invoice templates free?
Many are. Templates or elements with a crown icon need Canva Pro.
Can I edit a Canva invoice on my phone?
Yes, in the Canva app, though tables and small text are easier to edit on a computer.
Does Canva calculate invoice totals?
No. You type totals yourself. Double-check sums before sending.
